Payroll Supervisor

We currently have an opportunity for a Payroll Supervisor to lead the payroll function for our corporate office in Lake Zurich and our Puerto Rico manufacturing facilities.
The Payroll Supervisor will be responsible for managing our payroll vendor relationships, ensuring the accurate and timely processing of payroll and leading projects as we roll out new systems and process improvements. 
Responsibilities include:

  • Manage payroll vendor relationships to ensure the accuracy and timeliness of payroll processing, financial analysis and reporting. 

  • Process US payroll including submission of payroll related funding requests. Analyze payroll tax and garnishments processed by payroll outsource vendor.

  • Manage and prepare payroll general ledger files for related payrolls’ processed; reconcile payroll related general ledger accounts and reclassify suspense entries.

  • Research and resolve payroll issues (returned checks, direct deposit rejection errors, stop payments, etc.)

  • Manage the year-end processing and any special requirements; provide support for year-end and benefit audits.

  • Implement appropriate controls and procedures to ensure accuracy and system data integrity.

  • Act as the project lead for the payroll interface of Ceridian to Fenwal’s new SAP G/L system.

  • Provide training and support for Puerto Rico payroll function ensuring that new developments are communicated and implemented and that the W-2 process is complete.

  • Manage US Kronos system and time entry submissions, ensuring consistency and accuracy in the data which drives payroll processing and reporting.  Assist with current project to upgrade current Kronos system in US and Puerto Rico.

  • Manage relationship with Canadian outside payroll provider.

Requires:

  • 5+ years of payroll related experience, including experience with reconciling G/L accounts, reviewing and reconciling quarterly and annual tax filings

  • Experience managing an outside payroll vendor (Ceridian and Kronos experience a plus)

  • Thorough knowledge of wage and tax laws and general accounting principals

  • Project management skills to manage simultaneous activities and prioritize workload

  • Strong analytical and problem solving skills

  • Strong communication skills and ability to interact at all levels

  • Ability to operate in a fast pace environment with tight deadlines

  • Strong PC skills

  • Supervises internal payroll staff; assigns workloads and monitors activity.

  • Prepares tax gross-up for relocations, special pays, and relation documentation for IRS.

  • Audits state and local tax withholding requirements in related systems.

  • Initiates and coordinates tax research with ADP and tax agencies.

  • Prepares and performs internal payroll transmission to ADP.

  • Conducts system testing for ADP changes and enhancements.

  • Maintains mailing instructions for checks distributed by ADP.

Qualifications:

  • Five (5) years payroll experience including one (1) year multiple state tax reporting experience required.

  • ADP Payroll and staffing company experiences highly desirable.

General Summary:

The Payroll Supervisor will oversee and manage all day to day operations in the payroll department including but not limited to:  preparation of all check/DDP's - gross to net calculations, calculation and payment of all necessary taxes, vouchering all garnishments and other employee deductions, timely processing of all governmental reporting, posting of all necessary journal entries and Cyborg system code set/table maintenance.  Additional responsibilities include the following:

  • Work with the IT group on system enhancements, TUB's and other various system updates.

  • Assist with internal and external audits, including Sarbanes Oxley compliance.

  • Manage all acquisitions and divestitures as they relate to the payroll process.

  • Work with the tax and legal departments on FEIN consolidation, IDR's and reporting requests.

  • Preparation of policies, procedures and templates/forms - as the payroll shifts to more centralized processing.

  • Work on special projects as required.

  • Manage the employees within the department which currently consists of two analysts, one tax coordinator and four payroll clerks.

QUALIFICATIONS:

  • Bachelor's degree in accounting preferred or a bachelor's degree with accounting classes.

  • 3-5 years payroll experience.

  • Supervisory experience required.

  • Strong analytical skills.

  • Excellent organizational and communication skills.

  • Ability to put in overtime as required.

  • SAP experience a plus

  • Up to 25% travel

Job Description:

  • Responsible for payroll processing and quality service for clients.
  • Inputs data from time sheets, production records, or individual time cards to computerized payroll system.
  • Responds to and resolves client questions and payroll issues in a timely and professional manner.
  • Accurate and timely preparation of client payrolls.
  • Maintaining a high client retention rate through superior customer service.
  • Ability to maintain quality and accuracy in a fast paced, multi-tasking, detail oriented, deadline restricted environment.
  • Researches and resolves customer service and/or processing issues when required.
  • Ensures upward communication to management regarding department, employee or customer concerns.
  • Responsible for balancing payroll runs, producing federal, state and local tax payments, and answering employee questions and troubleshooting issues.

Candidate Profile:

  • Requires a high school diploma.

  • Minimum of 1-3 years of experience in the field or in a related area.

  • FPC helpful.

  • Service Bureau experience preferred.

  • Working knowledge of payroll processing software.

  • Knowledge of commonly-used concepts, practices, and procedures within a particular field.

  • Relies on instructions and pre-established guidelines to perform the functions of the job.

  • Knowledge of commonly used software applications (Word, Excel, Adobe, etc) and quick learner of new software.

  • Team player a must.
