Payroll Specialist
Accounting/Controller
THE ART INSTITUTE OF CHICAGO is seeking a candidate who is responsible for the daily operation of the Payroll Department. This position has the overall responsibility for timely and accurate processing review of the payroll cycles for the Art Institute employees. Individual will explain and interpret complex payroll information to employees at all levels of the organization.  The position requires the use of analytical skills to identify and address potential issues and to report those items to the Payroll Manager.  The Payroll Specialist will supervise and train the Payroll Assistant to enter data and run processes timely and accurately.  Will also process payroll distribution to PeopleSoft’s general ledger and apply the Art Institute policy and government regulations to all processing. 

A SUCCESSFUL CANDIDATE WILL HAVE a BA, FPC, CPP or Equivalent.  Three or more years of business experience.  Two or more years experience working in a high volume, multi-cycle payroll department.  Familiarity with accounting principles relating to funds disbursement, payroll tax statutory requirements and payment regulations.   Superior customer service, communication and organizational skills.  Ability to work independently and meet deadlines with minimal supervision.  Ability to work as a team player in a high stress environment.  Experience with Microsoft Word, Excel, and Internet tax payments.  PeopleSoft 9.0 software and query desired.

Payroll Specialist / Analyst
Looking for an experienced Payroll Specialist / Analyst for a short term contract with a possibility of converting to a permanent position.
Responsibilities:

  • Support the Payroll Manager in the coordination and monitoring of payroll
  • Work with Payroll Manager to develop and implement strategy for International Payroll
  • Ensure that the Payroll Vendor maintains and produces accurate feeds to payroll, corporate payroll and accounts for all employee earnings, deductions, taxes, direct deposits, manual checks, time and attendance, pay calculations, special executive payments, severance payments, W2's
  • Provides the Payroll Manager with support for audit, reconciliation and accounting of the multi-company, multi-state corporate payrolls and general ledger accounts to ensure compliance
  • Handle payroll transactions and analysis, and year end reconciliation
Skills Required:
  • Must have experience with PeopleSoft

  • International payroll knowledge

  • Functional experience in payroll, audit, reconciliation, and payroll tax payment/reporting in a multi company/ multi state environment with +5,000 employees

  • CPP payroll certification preferred

Payroll Operations Account Specialist 

Expanding Skokie based payroll-related solutions provider is hiring.  Our company is growing quickly and we are looking for a well organized, motivated individual with a background in processing operations and a focus in payroll related customer service.  The job will consist of overseeing our annual print shop operations, as well as assisting our clients in various aspects of our services.  Our service lines include year-end tax statements, online pay statements and W-4 solutions.
The ideal candidate will have excellent organizational skills and the ability to pay attention to small details. Payroll Production Manager - ProBusiness
Reports to:
 Director, Corporate Payroll
Position Summary:

The Payroll Production Manager is responsible for protecting the assets of OfficeMax by ensuring that payroll is processed in a timely and accurate manner. This position provides guidance, training and direction to payroll staff and ensures that payroll issues are resolved in a manner that meets customer expectations. In addition, this position serves as the primary contact with ProBusiness for production, tax, and upgrade issues.

Position Responsibilities:

  • Manage payroll production staff in the preparation and distribution of OfficeMax’s payroll for all domestic business locations, including U.S. Territories and Commonwealths.

  • Provide ongoing training, coaching, and feedback to staff to ensure that productivity and knowledge of overall payroll process are maintained and improved.

  • Oversee the audit and maintenance of earnings and deduction records.

  • Audit cash requirements and the interface between ADP and SAP FI.

  • Ensure compliance with all garnishment and support orders, federal, state, and local tax withholding and that Forms W2 and W2C are processed accurately.

  • Ensure that payroll staff is engaged in reconciling routine issues within service level guidelines

  • Manage the resolution of escalated issues and non-routine payroll problems through problem analysis and determining appropriate course of action.

  • Spearhead process and quality improvement initiatives that will enable one to identify and respond to the needs of all customers.

  • Monitor compliance with Sarbanes Oxley provisions concerning payroll processes such as but not limited to payroll audits, ADP performance, cash requirements, and ADP security.

  • Research and resolve more complex payroll production issues.

  • Demonstrate a commitment to OfficeMax core values.

Quantitative Dimensions
The Payroll Production Manager is part of the management team that leads a complex Payroll Department. This position provides operational support in managing workflow and producing an annual payroll of approximately $1 billion for over 30,000 associates. The Payroll Production Manager supervises up to eight associates (Accounting Technician and Payroll Specialists). The Payroll Production Manager interfaces with and makes presentations regularly to executive management. This position has the authority and discretion to make recommendations that significantly impact the company’s service to its associates with significant bearing on associate satisfaction. The position will practice broad decision making on daily activities within policy guidelines.

Position Requirements

  • Bachelor’s degree (Business or Accounting preferred), or equivalent work experience

  • Minimum 5 years payroll administration experience, including experience with automated payroll systems (preferably ProBusiness) and HRIS database systems (preferably SAP)

  • Minimum 3 years supervisory experience

  • Knowledge of federal, state, and local laws regarding wage taxation and wage payment laws

  • Analytical and technical skills, including knowledge of Microsoft Office Suite products

  • Skills in leadership, organization, planning, problem solving, and multi-tasking

  • Ability to communicate verbally and in writing
